01Permitted Use

The Platform is provided exclusively for the purpose of producing Operations and Maintenance manuals and related documentation for mechanical and electrical construction projects.

Permitted uses include:

• Creating and managing O&M manual projects for construction projects you are contracted to deliver
• Uploading project documents including drawings, certificates and technical literature
• Generating Word document manual sections for delivery to clients
• Using AI features to assist in drafting manual content
• Sending document requests to sub-contractors in connection with live projects
• Sharing hosted manual URLs with clients, building owners and facilities managers
• Managing your contact database of clients, consultants and sub-contractors

02Prohibited Use

You must not use the Platform to:

• Produce false, fraudulent or misleading documentation of any kind
• Create documentation for projects you are not authorised to produce O&M documentation for
• Upload content that infringes any copyright, trademark, patent or other intellectual property right
• Upload or transmit malicious code, viruses, trojans or any other harmful software
• Attempt to gain unauthorised access to any part of the Platform or any other user's account
• Use the document request feature to send unsolicited commercial communications unrelated to genuine document requests
• Harass, threaten or intimidate any person through the document request or amendment request features
• Circumvent any usage limits, access controls or security measures
• Use automated tools to access or scrape the Platform without our written consent
• Resell, sublicense or provide access to the Platform to third parties without our written consent
• Use the Platform in any way that places excessive or unreasonable load on our infrastructure
• Upload personal data of individuals without a lawful basis for doing so under applicable data protection law
• Use the Platform for any unlawful purpose or in violation of any applicable regulation
• Impersonate any person or organisation or misrepresent your identity or affiliation
• Use AI features to generate content intended to mislead clients about the nature or scope of an installation

03Document Upload Requirements

All files uploaded to the Platform must:

• Be relevant to the project to which they are being uploaded
• Be files you have the right to upload and store
• Not contain malicious code
• Comply with the file type and size restrictions of the Platform

You must not upload:

• Files containing illegal content of any kind
• Files containing personal data of third parties without appropriate authorisation
• Confidential documents belonging to third parties without appropriate authorisation to share them with a cloud processing service
• Files that infringe any intellectual property right

04Document Request Feature

The document request feature enables you to send emails to sub-contractors requesting project documentation. When using this feature you must:

• Only send requests to sub-contractors in connection with genuine live projects
• Ensure recipient email addresses are accurate
• Set reasonable and accurate required-by dates
• Not send requests as a means of unsolicited commercial communication
• Comply with applicable data protection law in respect of sub-contractor personal data

We reserve the right to suspend the document request feature for any account where we reasonably believe it is being abused.

05AI Features

When using AI features you must:

• Review all AI-generated content before including it in any document delivered to a client
• Not use AI features to generate content you know to be false or misleading
• Not attempt to manipulate AI features to produce harmful, offensive or misleading content
• Take professional responsibility for the accuracy and appropriateness of AI-assisted manual content

06Enforcement

We reserve the right to:

• Investigate any suspected breach of this policy
• Remove any content that breaches this policy
• Suspend or terminate accounts that breach this policy
• Report breaches to appropriate authorities where required by law

Where we suspend an account for breach of this policy we will provide written notice. Serious breaches may result in immediate termination without notice.

07Reporting Abuse

If you become aware of any use of the Platform that breaches this policy please report it to support@sqrd.ie. We take all reports seriously and will investigate promptly.
