SQRD² O&M Builder is a software-as-a-service platform designed to assist mechanical and electrical contractors in the production of Operations and Maintenance manuals for construction projects.
The Platform provides the following services depending on the Subscription plan selected:
We reserve the right to modify, suspend or discontinue any feature of the Platform at any time with reasonable notice. We will endeavour to provide at least 30 days notice of material changes to core functionality.
To use the Platform you must register for an account. By registering you confirm that:
You are responsible for all activity that occurs under your account. You must notify us immediately if you become aware of any unauthorised use of your account.
Each Organisation may maintain one Subscription account. The Platform is not licensed for use by multiple organisations under a single account unless an Enterprise plan has been arranged.
At the time of registration Lite plan Subscribers select a single discipline — either Electrical or Mechanical. This discipline determines the template set, system library and folder structure available within the account. Discipline selection may be changed only by upgrading to a Pro or Enterprise plan.

All prices are exclusive of VAT. Irish VAT at the applicable rate will be applied to all subscriptions. VAT-registered businesses in other EU member states may provide their VAT number to zero-rate the supply.
Subscriptions are billed in advance on the first day of each Billing Period. Payment is processed by Stripe. By subscribing you authorise us to charge your payment method on a recurring basis.
If a payment fails we will attempt to retry the charge. If payment remains outstanding for 7 days your account will be suspended. After 14 days of non-payment your Subscription may be cancelled.
We reserve the right to change Subscription prices. We will provide at least 30 days written notice of any price increase. Your continued use of the Platform after the effective date of a price change constitutes acceptance of the new price.
Where a launch promotional price has been offered, the discounted rate applies for the first 6 months of the Subscription only. After 6 months the Subscription automatically moves to the standard price. Promotional pricing is not available in conjunction with any other offer.
New Subscribers are entitled to a 14-day free trial of the Platform. No payment details are required to begin a free trial. At the end of the trial period you will be prompted to enter payment details to continue using the Platform.
If payment details are not provided by the end of the trial period your account will be paused. You may add payment details at any time to reactivate your account. All data created during the trial period is retained for 90 days from the trial end date.
Free trials are available to new Subscribers only. We reserve the right to refuse a free trial where we reasonably believe an account has been created to circumvent this limitation.
Subscribers may temporarily increase their project limits for a single Billing Period through a Monthly Boost. Boosts are available at the following prices:

Monthly Boosts are charged as one-time payments and are non-refundable. Boosts automatically revert to the base Subscription plan at the start of the following Billing Period.
A maximum of 3 Monthly Boosts may be used within any 12-month period. After 3 Boosts have been used only a permanent plan upgrade is available. The Boost counter resets on the Subscription anniversary date.
Subscribers may pause their Subscription during periods of reduced activity. During a paused Subscription:

You may cancel your Subscription at any time through your account settings. Cancellation takes effect at the end of the current Billing Period. You will retain full access to the Platform until that date.
No refunds are provided for unused portions of a Billing Period.
We reserve the right to suspend or terminate your account immediately if:
Where termination is due to your breach we will provide written notice. Where immediate suspension is required for security or legal reasons notice may follow the suspension.
Following cancellation of a Subscription the following data retention policy applies:

We will send reminder emails at 60 days and 80 days following cancellation to allow you to download any files you wish to retain before deletion.
Hosted Manual pages will continue to display project information, AI-generated content and file registers permanently. Individual file download links within Hosted Manuals will become inactive after 90 days following cancellation.
Resubscription within 90 days restores full access including file downloads. Resubscription after 90 days restores access to project structure and hosted manuals but uploaded files must be re-uploaded.
You agree to use the Platform only for lawful purposes and in accordance with these Terms. You must not:
The Platform, including its software, design, templates, system library content and all related materials, is owned by us and protected by intellectual property law. Nothing in these Terms grants you any rights in the Platform beyond the limited right to use it in accordance with your Subscription.
You retain all ownership of content you upload to the Platform including project documents, files and company information. By uploading content you grant us a limited, non-exclusive licence to store, process and transmit that content solely for the purpose of providing the Platform services to you.
We will not use your content for any purpose other than providing the Platform services. We will not share your content with third parties except as set out in our Privacy Policy.
AI-Generated Content produced by the Platform using your project data and context documents is provided to you for use in your Operations and Maintenance manuals. We make no claim of ownership over AI-Generated Content that incorporates your project-specific information. Generic library content incorporated into AI output remains our intellectual property.
If you provide feedback, suggestions or ideas about the Platform we may use that feedback without restriction or compensation to you.
We do not warrant that AI-Generated Content is accurate, complete, technically correct or suitable for any particular purpose. AI-Generated Content may contain errors, omissions or inaccuracies. It is your professional responsibility to ensure that all manual content is accurate and appropriate for the specific project.
Context Documents uploaded to inform AI generation are processed by Anthropic's API. By uploading Context Documents you confirm that you have the right to share that information with a third-party AI processing service. You should not upload documents containing confidential information belonging to third parties without appropriate authorisation.
Anthropic does not use API inputs for training its models. Context Documents are processed transiently and are not retained by Anthropic beyond the immediate processing request.
The Platform enables you to send document request emails to sub-contractors and other third parties. By using this feature you agree that:
Documents uploaded by third parties through the upload portal are processed in accordance with our Privacy Policy. You are the data controller in respect of any personal data contained in documents uploaded by third parties to your project. You are responsible for ensuring an appropriate lawful basis exists for that processing.
We are not responsible for the content, accuracy or completeness of documents uploaded by third parties.
The Platform generates a unique URL for each project through which a Hosted Manual can be accessed. When you make a Hosted Manual public you understand and agree that:
Hosted Manual URLs remain permanently accessible regardless of Subscription status as set out in section 9. We reserve the right to remove Hosted Manual content that breaches these Terms or applicable law.
Amendment requests submitted through Hosted Manuals by third parties are processed by our AI system. You will be notified of all amendments made. You retain the right to revert any amendment through the version history feature.
To the maximum extent permitted by applicable law we exclude all implied warranties including warranties of merchantability, fitness for a particular purpose and non-infringement.
We do not warrant that:
To the maximum extent permitted by Irish law our total aggregate liability to you arising out of or in connection with these Terms or your use of the Platform shall not exceed the total Subscription fees paid by you in the 12 months immediately preceding the event giving rise to the claim.
We shall not be liable for any indirect, consequential, special, punitive or exemplary damages including loss of profits, loss of revenue, loss of data, loss of business or reputational damage howsoever arising.
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by Irish law.
You agree to indemnify and hold harmless SQRD², its directors, employees and agents from and against any claims, damages, losses, costs and expenses (including reasonable legal fees) arising from:
We reserve the right to modify these Terms at any time. Where changes are material we will provide at least 30 days notice by email to the address registered on your account. Your continued use of the Platform after the effective date of any changes constitutes acceptance of the revised Terms.
If you do not accept revised Terms you may cancel your Subscription before the effective date of the changes.
We may update, modify or discontinue features of the Platform at any time. We will endeavour to provide reasonable notice of material changes to functionality.
These Terms and Conditions and any dispute or claim arising out of or in connection with them shall be governed by and construed in accordance with the laws of the Republic of Ireland.
Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of the Republic of Ireland.
Before commencing legal proceedings we ask that you contact us to attempt to resolve any dispute informally. We will endeavour to respond to all complaints within 5 business days.
If you are a consumer resident in the European Union you may also refer disputes to the European Commission Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
